Assistant Facilities Manager - Clondalkin Paid Position

Job Purpose:
Reporting to the Key Account Manager as the Assistant Facilities Manager you will take ownership for all Reception, Maintenance and Office Hygiene services in our Client’s owned buildings, within the ISS remit, with a focus on productivity, staff and client engagement. Ensuring that a first-class service is delivered through all services offered and managed by ISS. To promote Health and Safety as second nature to all staff at all levels. Ensure the seamless provision of all to services and give direction and coordinate activities within your remit on a day to day basis. Providing the highest quality, enabling the Company to carry out their business activities in a safe comfortable, productive and cost-effective environment.
Job Dimensions: 

Health & Safety  
•	Support the implementation, operation and continuous improvement of our HSEQ Management Systems at site level
•	Manage non-conformances and complaints and record centrally
•	Cascade relevant HSEQ information to your direct reports and front-line employees
•	Support the business by delivering services that meet the needs and expectations of our customers in accordance with ISO Standards and Company values

Operational 
• Provide full administrative support to the Key Account Manager 
• Ensure we are compliant with all legislative and statutory requirements 
• Assistance with Project Management and scoping of all facility related works
• Delegation of Helpdesk tasks received and monitoring of all Helpdesk activities 
• Oversee all Building fabric, M&E and ad hoc maintenance and reactive works 
• Provide space planning and MAC management for all Office staff
• Manage Front of House operations
• Coordinate Hygiene of all Office areas 

Finance Management 
• Ensure individual sites are managed within budget 
• Assess & plan for future needs 
• Achieve profitability and growth targets
• Monitor provision of materials and equipment to ensure sufficient stocks are onsite and within budget
• Provide timely and accurate information for Monthly Invoicing 

Customer Relations 
• Develop and maintain good customer relationships with client
• Respond efficiently & effectively to customer complaints 
• Promote ISS Ireland 
Quality Standards 
• Ensure all staff are aware of expected standards of work and quality targets
• Monitor and develop continuous improvement initiatives 
• Administration of ISO and quality systems for client/ISS

Administration 
• Assist in collation of all ISS/Client reports 
• Prepare material for ISS meetings as requested
• Maintain the Records Management System 
• Raising and updating PO system 
• General administration duties as required 
• Maintain all correspondence on client trackers 
Helpdesk
• Full understanding of the Facilities related services.
• Overall management of the Facilities Helpdesk
• Reporting for all Helpdesk activities (e.g. monthly, ad hoc) 
• Following up on all Facilities requests
• Responding to issues within the complaint log
